Clarify ownership and restrictions
Confirm whether the analyzer is owned outright, leased or subject to an agreement with a supplier. Identify who can approve its sale and release. Note restrictions early rather than scheduling collection around an assumption.
Record the system’s actual status
State whether it is in routine use, awaiting retirement, disconnected or known to have a fault. Add the most recent use and service dates if available. Do not describe a stored analyzer as working based only on its last asset entry.
Keep clinical data out of the sale enquiry
Do not send patient identifiers, sample lists or screenshots containing clinical records. Identify associated computers without sharing login details. Arrange a separate review with the laboratory’s IT and information-governance team before any data-bearing equipment is transferred.
Agree preparation and release
Record who is responsible for decontamination, disconnection and documented release under local procedures. Identify site access and any specialist handling needs. A purchase enquiry or offer is not confirmation that an analyzer is cleared for collection or approved for clinical reuse.
A reusable equipment record
The CSV template opens in common spreadsheet applications. Keep one row per item and link related modules with a system reference. Leave genuinely unknown details marked as unknown.
